At the recent Global Fax Summit, OpenText customers and partners gathered to learn the latest on all things related to enterprise fax management. At this conference, I was reminded of our global reach and how our partners help solve major business problems with their expertise and a solid set of document management products. The meeting represented something of a celebration for the OpenText Fax and Document Distribution Group as this year marks a major milestone for RightFax since its start 25 years ago.

Matthew Brine, Vice President of the OpenText Fax and Document Distribution Group states, “The Global Fax Summit allows us to connect with our partners and customers and provides an opportunity for us to express how important they are to our continued success.”

So hats off to our award-winning partners that were recognized for their achievements during the Global Fax Summit. Keep up the good work.

Fetim built their reputation on the basis of quality, speed and accuracy. But Fetim discovered that their fax and document archival methods were anything but speedy. A majority of their faxes consist of purchase orders and confirmation exchanges with suppliers and retail outlets. Labor intensive faxing methods, delayed order fulfillment, and antiquated document storage left Fetim in desperate need of a document management makeover.

Metastore, an OpenText Premier Partner out of the Netherlands, understood the challenges facing Fetim. With an impressive track record in content management solutions, Metastore recommended OpenText RightFax and OpenText Alchemy. “We save a lot of time and money, and business processes are now very efficient with OpenText solutions,” states Marrten Post, System Administrator, Fetim Retail Europe. Read more…

Who doesn’t enjoy the infectious laughter of a baby? If you’re trying to get through a long and difficult day, it serves as a much needed reminder of the real reason most of us endure the difficult times. More than 9 million people worldwide took time out of their ordinary and stressful lives to watch this little boy break into smiles and giggles. And what could cause the adorable tot to erupt into fits of uncontrollable joy? Ripping a piece of paper. As adults, we know the destruction of paper and the devastation of countless trees is no laughing matter. In the United States, we use enough office paper each year to build a 10-foot high wall that’s 6,815 miles long, or two and a half times the distance from New York to Los Angeles.

The moral of this story is twofold – it’s about saving the planet, trees and resources for future generations, and it’s also about saving money and resources today that affect the profitability of your business. You can locate the recycle bins and make an honest effort to properly dispose of paper, but you can do more. Look at your work environment, whether small business or large enterprise, it’s easier than you think to cut your paper dependency and save a forest or two. Faxing is one area where you can make a big difference. With OpenText RightFax, you can replace traditional, standalone fax machines with a Fax over IP-based solution that turns outdated, paper processes into efficient, digital workflows–reducing the paper, the time and resource to send and receive fax communications. RightFax also helps meet compliance laws by creating an audit trail should you need to locate that all important document.

Green lecture over. Can we go back to the baby now? Reach into the recycle bin and pull out another piece of paper to make him laugh so we can all smile.

Imagine, you just started a new job and your first task is to locate ten years of accounting records from your department. At this point, you are convinced this task falls under the category of cruel and unusual punishment – records are missing, older records are off-site and no sane method of categorizing or indexing can be detected. For an organization undergoing an audit, this can be a painful lesson in compliance and best practice in which no one escapes.

If your organization happens to be a law firm, you are forced to play by a different set of “retention” rules – some documents must be kept for a few years whereas documents related to wills and estates may need to be kept for more than 100 years. Legal firms are often asked to produce financial and billing information long after a case is closed. This equates to an unfathomable amount of paper that must be filed, stored, and easily accessed by legal staff.

To meet this challenge in a cost effective manner and still remain compliant, ProcessFlows, a Platinum OpenText Distributor, worked with Castle Document Management to provide a no nonsense document management solution for a high profile legal customer.

Discover how ProcessFlows and Castle DM addressed a UK law firm’s need to save money, improve accessibility and reduce storage issues using OpenText Alchemy. Read more.

Companies are often bound by law to keep certain documents and records on file for extended periods. The expense associated with storing and managing these documents can be overwhelming. No one knows this better than UK-based CBG, an insurance and financial services broker. To add another layer of complexity to the mix, CBG was burdened with retaining records as a result of 17 company acquisitions. The risk of misplacing documents is huge but an even bigger scare comes from (imagining) the worst case scenario. With no back up or disaster recovery plan in place, how would CBG prove compliance?

As with all UK financial services organizations, CBG must answer to the FSA, a division within HM Treasury that oversees accountability and best practice. Failure to comply with FSA could result in hefty fines and dire consequences. OpenText Platinum Distributor ProcessFlows together with Archive Solutions came to CBG’s rescue with solid advice on how best to conquer the mountain of documents. Using OpenText Alchemy, CBG can now store, index, and secure their documents quickly, in electronic format, plus meet compliance regulations. Read more…

Memorial Health System of Colorado Springs started as a community-based hospital that quickly grew to a Level II Trauma Center now consisting of three hospitals and regional clinics. Memorial handles an impressive volume of more than 15,000 faxes per week, both incoming and outgoing. According to Scott Port, Application System Administrator at Memorial, “close to 90 percent of faxes are related to direct patient care.” To support their fax communication load, Memorial relied on nearly 400 fax machines scattered throughout their regional facilities.

With the expert guidance from OpenText Premier Partner Satori Solutions, Memorial turned to RightFax for a more productive, cost-effective method of document management to benefit patient care.
